Checkout/checkin Licenses
Learn how to checkout and checkin licenses
Each license in AssetLoom is tracked by its available seats. When a reassignable license is checked out, the system automatically reduces the available seats based on the assigned amount. Once reassignable licences are checked back in, the quantity is returned to the available seats.
Licenses can be checked out to either a user or an asset, allowing you to easily track who is using the license or which asset it is attached to.
How To Checkout Licenses
Step 1: Navigate to the License Screen:
From the Resources → Licenses, navigate to the license you want to check out.
In the Actions column, click the “Checkout” button. 
You can click the Checkout button in any tab of the License Details screen to open the checkout screen quickly.

Step 2: Checkout License Screen:
A Checkout License Screen will appear. This screen allows you to check out a license to either a specific user or an asset. Follow the steps below to complete the checkout process:

- Checkout To:
- Select whether the license will be checked out to a User or an Asset.

- Then, choose an available user or asset from the dropdown list.

- Select whether the license will be checked out to a User or an Asset.
- Assigned Quantity: Enter the quantity of the license to check out. The quantity cannot exceed the currently available seats.

- Checkout Notes: Add any additional notes or remarks related to the checkout, such as the purpose, event, or assignment details.

Click “Submit” when you have finished entering details.

How To Check In Licenses
You can only check in reassignable licenses.
To check in a license that has been previously checked out, you can follow these steps:
Step 1: Navigate to the License Screen:
From the Resources → Licenses, navigate to the license you want to check in.
Open the License Detail Screen, choose the Assignments tab, and you can see the “Checkin” options

You can click the “Checkin All” button to restore all licenses to inventory.
For licenses assigned to a member, you can go to Personal Settings → User Management → User Profile → Licenses tab to perform the Checkin action.

For licenses assigned to an asset, you can go to Resources → Assets → Asset Detail Screen → Linked Assets tab to perform the Checkin action.

Step 2: Checkin License Screen
A Checkin License screen will appear for you to enter check-in information, similar to the checkout process. 
This screen has 2 parts:
- Checkout information: displays the original checkout details of the license. These records are for reference only and cannot be modified during the checkin process. The information includes:
- Assigned To: Displays the user or asset currently assigned to the license.
- Checkout Date: Shows the date when the license was checked out.
- Quantity: Displays the quantity originally checked out.
- Checkin Information: contains the information you can update before submitting the checkin.
- Checkin Quantity: Enter the quantity to return to inventory.
- Checkin Date: Select the date when the license is being checked in.
- Checkin Notes: Add any additional notes or remarks related to the checkin process, such as item condition or return details.
Click “Submit” when you have finished entering details. This action will return the license to the stock and update the available seats for the license.
